Outlook——电子邮件与个人信息管理

Outlook可以收发与管理你的电子邮件,包括日历、活动和会议安排,联系人管理等功能,让您的生活变得井然有序。

Outlook的主要功能包括有:

·电子邮件

与其他人通信、发送图片和其它文件附件、为保密邮件添加安全性、共享电子商务卡、发送和响应会议及任务请求、过滤掉垃圾邮件等。

·联系人

存储有关商务伙伴、朋友和家庭成员的姓名、地址、电话号码和个人信息等。

·日历

安排约会、会议以及全天事件的时间,跟踪假日、特殊时机和其它重要日期。

·任务

创建并维护待办事务列表、将您的任务分类,安排好它们的优先次序、为最后期限设置提醒,跟踪进度。还可以给其他人分派任务、监控他们的进度和接收状态报告等。

·便笺

功能类似日常生活中用的便签,可以提醒您自己有关问题、想法、指示等您不想忘记的事情。

·日记

记录和跟踪活动,比如发送的电子邮件、工作中的Office文档以及与“联系人”文件夹中人员的交流。
一. 初识Outlook

Outlook2000是Office2000中的一员,在你安装Office的时候将Outlook这一项选择上就可以了。安装过程我在这里就略去了。安装程序会自动在系统的桌面上建立Outlook的快捷方式。

首先,启动Outlook:

可以通过点击Windows桌面的如下这个图标(图1)来直接进入Outlook。

下面,我们就来看看Outlook2000的界面。

进入Outlook,它的主窗口包括:标题栏、菜单栏、工具栏、状态栏、Outlook面板、文件夹大标题、滚动条等。下面我们分别介绍Outlook2000的组成部分。
·标题栏

显示当前运行程序的名称,如果是初次打开Outlook,标题栏显示“个人文件夹-Microsoft Outlook”的标题。在标题栏的最左端是Outlook的页面标题和它的徽标。而在标题栏的右端排列着最小化按钮、最大化按钮/还原按钮和关闭按钮。

·菜单栏

可以看到Outlook所有的功能菜单,包括“文件”、“编辑”、“视图”、“收藏夹”、“工具”、“动作”和“帮助”菜单。

·工具栏

显示当前正在使用任务的所用工具。工具栏可以包含按钮、菜单或者同时包含两者。某些菜单和命令只能在Outlook中的特定视图、文件夹或项目中出现。

·状态栏

用于显示一些当前的状态信息。如在使用收件箱时,会显示文件夹内的信件数目。

·Outlook面板

包含指向常用文件夹的快捷方式,其中已经设定的有Outlook今日、收件箱、日历、联系人、任务、日记、便签、已删除文件等。

·文件夹大标题

显示打开文件夹的名称。单击按钮,在弹出的下拉文件夹列表中,可以通过单击转到其他文件夹。单击文件夹列表右框上方的小便笺针,可以使列表保持打开的状态。

·文档窗口

看到的是打开文件夹的列表或内容,在这里可以进行对各项任务的操作。同时它为各个文件夹文档窗口提供了多种显示方式。

二. 收发电子邮件

Outlook可以用来收发电子邮件。

与其它电子邮件软件foxmail, Eudora等比较,Outlook有什么优势?

1. Outlook支持几十种国家语言,我们收到的电子邮件不会出现乱码,避免出现有信不能读情况的发生。

2. Outlook支持多种邮件格式。它不仅可以收发纯文本的电子邮件,还可以收发带有文本格式的电子邮件,甚至连超文本格式的电子邮件也能显示。

3. Outlook集成了邮件的收发和管理,方便可靠。

接下面我们学习如何用Outlook来收发电子邮件。

收发邮件的第一步是要新建电子邮件账号。

例如:我在Outlook中新建purple_@sina.com这个邮箱账号来收发E-mail。

在Outlook的菜单栏中选择[工具] 〉[账号]。如图3

之后会弹出图4[Internet账户]窗口。

在这里,我们要增加新的账户purple_p@sina.com。

请留意图4右边第一个按钮,选择[添加] 〉[邮件],会弹出图5这个窗口。我们可以根据Internet连接向导的提示,一步步来完成邮箱purple_p@sina.com的配置工作。整个过程是非常简单的
第一步,要写上您的大名。这是为了在您发邮件的时候,可以在“发件人”那里显示您的大名,而不是一个E-mail地址。如图5

第二步,添写邮件地址。这个邮件地址是别人用来给您发送电子邮件的地址。如图6

第三步,配置收发邮件的服务器。purple_p@sina.com用的是sina的邮箱,可根据sina邮箱提供的邮件接收服务器和邮件发送服务器填写视图中的信息。如图7

第四步,登录Internet Mail.按要求填写邮箱的账户名和密码。如图8

第五步,选择连接Internet的方式。在这里,我是通过局域网连接的,所以就选择[通过局域网(LAN)连接]这项。如图9

如此,就完成了purple_p@sina.com这个账号的基本配置。如图10

仅仅是上面这几步的配置还是不够的。我们还要对这个新账号的[属性]进行配置。

现在,我们再次选择[工具] 〉[账号],可以看到在[Internet账户]这个视图比先开始增加了一项,这里第三个账户就是我们刚才配置成功的。如图11

Outlook Express is designed specifically for consumer and home users who primarily access their e-mail by dialing into an Internet service provider (ISP), Outlook Express offers a rich feature set that is easy to use.

Built on open Internet standards, Outlook Express is designed for use with any Internet standard system (POP3, SMTP, and IMAP). Outlook is Microsoft's premier messaging and collaboration client. It ships as a stand-alone application and is scheduled to be integrated into Office and Exchange Server. Outlook also provides great performance and superb integration with Internet Explorer 4.0. Tight integration with Office and Exchange as well as complete integration of e-mail, calendaring, and contact management make Outlook 98 the perfect client for a wide spectrum of business users.

Outlook helps users easily find and organize information so they can work seamlessly with Office applications, and it also helps them communicate and share information more effectively.

Powerful inbox rules allow users to easily filter and organize their mail for easy reference later. With Outlook, users can integrate and manage e-mail (including the ability to receive mail from multiple e-mail accounts), personal and group calendars, contacts, and tasks.

Users can also take advantage of the platform for workgroup information sharing and workflow communications when using Outlook with Exchange Server, adding group scheduling, public folders, forms, and enhanced Internet connectivity.

When choosing between Outlook Express and Outlook 98, users and organizations should base their usage decision on the criteria listed below.

Select Outlook Express for individuals or organizations with the following needs:
• Require only Internet e-mail and newsgroup functionality (for versions of Windows later than Microsoft Windows 95, versions of Windows earlier than Windows 95, Macintosh, and UNIX platforms).
• Use or plan to use Office 98 for Macintosh and want to take advantage of the integration of Outlook Express with this version of the Office suite.

Select Outlook for individuals or organizations with the following needs:
• Require advanced Internet-standards-based e-mail and discussion-group functionality.
• Require integrated personal calendars, group scheduling, task, and contact management.
• Require integrated e-mail and calendaring, cross-platform clients for versions of Windows later than Windows 95, versions of Windows earlier than Windows 95, and Macintosh platforms.
